A boutique apartment locator needed software that did not exist yet.
So we built it. A private client platform on top of the CRM they already used, and an automation that paid for the whole project.
The situation
CPK Collective is a Dallas apartment locating brokerage. Their clients are people in the middle of a move, which is one of the most stressful and time-sensitive things a person does. The experience needed to feel calm and personal.
The tools to deliver that were either enterprise-priced or did not exist. Client updates lived in email threads. Neighborhood recommendations lived in the owner's head. Rebate tracking, tour schedules and shortlists were scattered across a CRM, spreadsheets and text messages.
The closest off-the-shelf option meant an $800 per month plan for a feature set they would barely use.
What we built
A private client dashboard where every client signs in and sees only their own move. Mobile-first, because people check this from a parking lot between showings.
Behind it, a secure layer that reads and writes directly to the CRM the owner already used, so she kept working exactly as she had. Content is edited in a Google Sheet, so there was no admin panel to learn.
New clients receive an automatic welcome and dashboard login from the owner's own address. That one automation replaced the subscription that started the whole conversation.
See it working
The breakdown
A private portal for every client
Their curated shortlist, tour schedule, rebate status and a personalized neighborhood guide with local partner perks, all behind one login.
Two modes, one product
During the search it surfaces properties, tours and shortlists. After the lease is signed it becomes a first-week checklist and neighborhood guide. Same login, different job.
Their CRM stays the source of truth
The owner already ran her business in HubSpot and had no interest in learning a second system. A secure proxy layer lets the dashboard read and write directly to it.
A CMS she actually uses
Neighborhood guides, local partners, checklists and welcome messaging are edited in a Google Sheet. No admin panel, no training. She updates a row, the dashboard updates.
Automated client onboarding
New clients get an automatic welcome and dashboard login sent from the owner's own address. This single automation replaced the $800 per month plan.
Built to grow
The architecture is multi-tenant from the ground up, so the same platform can serve additional brokerages without a rebuild.
The tool she needed did not exist at a price that made sense. So we made one, and she never had to change how she works.
